Dashboard: Onboarding an employee

Overview

Employment Heros' paperless onboarding feature allows you to add new employees into your platform in three easy steps. This process gives your employees an experience that’s seamless and saves you time.

You can onboard employees via your onboarding dashboard widget. The onboarding widget also allows you to see what stage your employees are at in their onboarding journey.

Getting started

Onboarding an employee
  1. In the Employee Onboarding widget, click on the Add button.

  2. Enter the following information on the Basic Information page:
    • Employee's personal email address.
    • Employee's first name.
    • Employee's last name.
    • Employee code.

    Helpful Tip

    The employee code is an optional field and can remain blank. This will not affect the onboarding process.

  3. Click the Continue button.

  4. Enter the following information on the Employment Details page:
    • Employment type.
    • Start date.
    • Job title.
    • Probation length.
  5. Click the Continue button.

  6. Enter the following information on the Pay Details page:
    • Industrial instrument.
    • Classification.
    • Leave allowance template.
    • Pay rate template.
    • Salary / pay rate.
    • Work hours.
    • Ordinary work day.
    • Pay category.
    • Pay schedule.
    • Cost centre.
    • Benefits.
    • Synchronise with payroll.

    Warning

    The industrial instrument, classification, leave allowance template, pay rate template and synchronise with payroll option are only available if you have a connection to Employment Hero Payroll.

    Helpful Tip

    The Pay Employees their normal hours by default option, needs to remain ticked if you have autopay enabled i.e. this is for employees on a salary and who do not submit a timesheet. However, for this function to work, you need to set the employees’ standard hours per week, as that will be the multiplier for autopay. If you do not change this setting, it will set the default hours to zero, i.e. they will get paid $0 in the pay run.

  7. Click the Finish button.

    Helpful Tip

    Clicking the Issue Contract button will take you to the Contract Creation page. This page will allow you to create a new employee contract and send that new contract through to the employee's personal email address.

Viewing all onboarding employees

Helpful Tip

Employment Hero by default only shows two employee onboarding progress displays per page in the onboarding widget on the dashboard.

  1. In the Employee Onboarding widget, click on the View All button.

Resume onboarding an employee

Helpful Tip

The resume onboarding an employee function is only available only when you have issued a contract during the onboarding process but have not completed the contract.

  1. In the Employee Onboarding widget, Click on the three dots to access the menu.
  2. Click on the Resume Onboarding button.

Maintain

Re-Inviting an employee
  1. In the Employee Onboarding widget, click on the three dots to access the Selection menu.
  2. Click on the Resend Invite button.

Viewing an employee file
  1. In the Employee Onboarding widget, click on the three dots to access the Selection menu.
  2. Click on the View Employee File button.

Removing an employee
  1. In the Employee Onboarding widget, click on the three dots to access the Selection menu.
  2. Click on the Delete Employee button.

    Helpful Tip

    Deleting an onboarded employee will bypass your employee off-boarding process. Use the Delete Employee button primarily for cases where you have made a mistake with the onboarding application process.

  3. Type the employee's name and click the Yes, Delete file button.
