Managing an Employee's Leave Request

You can use the Leave Management section to approve, decline, or edit your employees’ leave requests.

Editing an Employee's Leave Request

Important: This option is only available if a pay run has not processed the leave request. You can see whether it has synced based on the Clock symbol.
  1. Click on the Leave menu.
  2. Click on the Management submenu.
  3. Click on the Action button.
  4. Click the Edit button.

    Helpful Tip: Clicking the Edit button will redirect you to the Edit Leave page.

  5. Make the required changes to your employees leave request, then click the Submit Leave button.
    Important: When you submit leave on behalf of your employee, the system will automatically approve the leave.
    Important: If an employee has a second level approver they also can approve the leave request
    Important: The Leave Balance section will show you whether the employee you are submitting leave on behalf of has accrued enough leave. If the balance is not up to date, click the Click Here to Refresh button.
    Important: If you only need to submit a half day off work for your employee, then you can edit the value within the hours field. For example, instead of nominating eight hours for a full day of leave, you can nominate four hours for a half day of leave.

Approving an Employee's Leave Request

Approving Individual Leave Requests

  1. Click on the Leave menu.
  2. Click on the Management submenu.
  3. Click on the Action button.
  4. Click the View Details button.

Approving Leave Requests in Bulk

  1. Click on the Leave menu.
  2. Click on the Management submenu.
  3. Click on the Selection Box on each employee line you are approving leave for.

  4. Click the Approve Selected button.

Declining an Employee's Leave Request

Declining Individual Leave Requests

  1. Click on the Leave menu.
  2. Click on the Management submenu.
  3. Click on the Action button.
  4. Click the View Details button.

Declining Leave Request in Bulk

  1. Click on the Leave menu.
  2. Click on the Management submenu.
  3. Click on the Selection Box on each employee line you are declining leave for. Leave_4.jpg

  4. Click the Decline Selected button.
  5. Enter the reason for declining the leave and click the Decline button.

Deleting a Leave Request

Important: This option is only available if a pay run has not processed the leave request. You can see whether it has synced based on the Clock symbol.
  1. Click on the Leave menu.
  2. Click on the Management submenu.
  3. Click on the Action button.
  4. Click the Delete button.

Viewing a Leave Request

  1. Click on the Leave menu.
  2. Click on the Management submenu.

    Helpful Tip: You will now see the details of the leave request on your screen.

What Does The Airplane Symbol Mean?

You can use the Airplane symbol to see if an employee's leave request includes public holidays.

Helpful Tip: The Airplane symbol will only show next to an employee's approved leave request.

What Does My Leave Clock Symbol Mean?

Message

  • Created At: Provides a timestamp of the leave request creation date.
  • Synced At: Provides a timestamp of when the leave request tried to sync with HeroPay.
  • Sync Successful: States whether the synchronisation of the leave request between Employment Hero HR and HeroPay has been successful.
  • Edited At: Provides a timestamp of the last edit done to the leave request after a previous HeroPay synchronisation attempt.

Colours

  • Blue: Used for pending or declined leave request that have not synchronised with HeroPay.
  • Green: Used for approved leave requests that have synchronised with HeroPay.
  • Red: Used for approved leave request that has not synchronised with HeroPay.
  • Orange: Used for pending, approved, or declined leave requests that have had changes made to them after being synchronised with HeroPay.
