Manager Weekly Timesheet Submission: Daily Hours Based on Weekly Entries

Overview

You can use the Timesheet Management section to approve and decline submitted timesheets. You can also use this section to submit a timesheet on behalf of your employees, along with editing and deleting a submitted timesheet.

Prerequisite: Enable the Daily Hours Based on Weekly Entries timesheet type. For details on how to enable this feature, refer to this article.

Submitting a Timesheet on Behalf of an Employee

Hourly

  1. Click on the Timesheet menu.
  2. Click on the Management submenu.
  3. Click the Add New Timesheet button.

  4. Click the Hourly button.
  5. Select the starting date in the Week field.
  6. Select the employee from the Employee field.
  7. Complete the following fields:
    • Cost centre.
    • Work type.
    • Monday to sunday work hours.
    • Comment.
    Helpful tip Tip: You can add a new row by clicking the Add New Row button. You can delete a row by clicking the Cross button at the end of the timesheet row.

  8. Click the Save button.
    Important: When you submit a timesheet on behalf of an employee, the system will automatically approve the timesheet.

Half Day/Full Day

  1. Click on the Timesheet menu.
  2. Click on the Management submenu.
  3. Click the Add New Timesheet button.

  4. Select the starting date in the Week field.
  5. Select the employee from the Employee field.
  6. Complete the following fields:
    • Cost centre.
    • Work type.
    • Monday to Sunday, half day or full day.
    • Comment.
    Helpful tip Tip: You can add a new row by clicking the Add New Row button. You can delete a row by clicking the Cross button at the end of the timesheet row.

  7. Click the Save button.
    Important: When you submit a timesheet on behalf of an employee, the system will automatically approve the timesheet.

Approving Employee Submitted Timesheets

  1. Click on the Timesheet menu.
  2. Click on the Management submenu.
  3. Use the Tick box to select each of the employees whose timesheet needs approving.

  4. Click the Approve Selected button.

Declining Employee Submitted Timesheets

  1. Click on the Timesheet menu.
  2. Click on the Management submenu.
  3. Use the Tick box to select each of the employees whose timesheet needs declining.

  4. Click the Declined Selected button.
  5. Type in a reason for the decline.

  6. Click the Decline button.

Editing an Employees Timesheet

Important: This option is only available if a pay run has not processed the timesheet. You can see whether it has synced based on the Clock symbol.

Hourly

  1. Click on the Timesheet menu.
  2. Click on the Management submenu.
  3. Click the Action button.
  4. Click the Edit button.

  5. Make the required changes and click the Save button.

Half Day/Full Day

  1. Click on the Timesheet menu.
  2. Click on the Management submenu.
  3. Click the Action button.
  4. Click the Edit button.

Deleting an Employees Timesheet

Important: This option is only available if a pay run has not processed the timesheet. You can see whether it has synced based on the Clock symbol.
  1. Click on the Timesheet menu.
  2. Click on the Management submenu.
  3. Click the Action button.
  4. Click the Delete button.

Viewing a Timesheet

Important: This option is only available if a pay run has processed the Timesheet. You can see whether it has synced based on the Clock symbol.
  1. Click on the Timesheet menu.
  2. Click on the Management submenu.
  3. Click the View Details button.

What does My Timesheet Clock Symbol Mean?

Message

  • Created At: Provides a timestamp of the timesheet creation date.
  • Synced At: Provides a timestamp of when the timesheet tried to sync with Employment Hero Payroll.
  • Sync Successful: States whether the synchronisation of the timesheet between Employment Hero and Employment Hero Payroll has been successful.
  • Edited At: Provides a timestamp of the last edit done to the timesheet after a previous Employment Hero Payroll synchronisation attempt.

Colours

  • Blue: Used for approved, pending or declined timesheets that have not synchronised with Employment Hero Payroll.
  • Green: Used for approved timesheets that have synchronised with Employment Hero Payroll.
  • Red: Used for approved timesheets that has not synchronised with Employment Hero Payroll.
  • Orange: Used for pending, approved, or declined timesheets that have had changes made to them after being synchronised with Employment Hero Payroll.
