Performance review settings: Review templates

Overview

The third stage in building a performance review within the HR platform is the creation of a review template. The review template process involves using the rating scale and review questions you created previously and deciding on how you will have these two pieces of information interact in your performance review.

This feature allows you to either create a new template from scratch or you can copy an existing record if you want to use an already created template as your building base. You also can edit a previously created template if the information contained within changes, and you can delete a template if the data is no longer required.

Before being able to create a review template, the following needs creating:

This feature allows you to create multiple different templates for your review questionnaires that your employees will complete therefore you may wish to create different templates depending on the employees’ role or level.

Our HR Experts recommend you keep your templates short, with around 5 questions per template. This enables you to provide targeted feedback on performance, identify strengths and weaknesses, and ultimately set goals for future performance.

Getting started

Adding a template
  1. Click the General Settings menu.
  2. Click the Review Settings submenu.
  3. Click the Review Templates button.
  4. Click the Add New Review Template button.

  5. Complete the following fields:
    • Name.
    • Description.
    • Overall rating scale.

    Helpful Hint

    You can use the Overall Rating Scale toggle switch to turn on or off the need to use a rating scale within your Review Template.

    If you use a rating scale, you can use the Rating Scale drop-down to select one you have previously created, or you can create one from scratch.

    If you create your own rating scale, you can use the Click to Add a New Rating Level button to add another scale name and a description field and the Delete button to remove a scale name and a description field. 

  6. Click the Save button.

Adding a question: Scalar rating
  1. Click the General Settings menu.
  2. Click the Review Settings submenu.
  3. Click the Review Templates button.
  4. Click the Actions button.
  5. Click the Edit button.

  7. Use the Question drop-down to select the required review question.
  8. Select the Scalar Rating option in the Answer Type section.
  9. Use the Rating Scale drop-down to select the required rating scale.

Adding a question: Free text
  1. Click the General Settings menu.
  2. Click the Review Settings submenu.
  3. Click the Review Templates button.
  4. Click the Actions button.
  5. Click the Edit button.

  7. Use the Question drop-down to select the required review question.
  8. Select the Free Text option in the Answer Type section.

Viewing a template

Important

The template viewing feature is only available when you have used a template in a review period.

  1. Click the General Settings menu.
  2. Click the Review Settings submenu.
  3. Click the Review Templates button.
  4. Click the Actions button.
  5. Click the View Details button.

    You will now see the details of the review template on your screen.

Coping a template
  1. Click the General Settings menu.
  2. Click the Review Settings submenu.
  3. Click the Review Templates button.
  4. Click the Actions button.
  5. Click the Make a Copy button.

Editing a template

Important

The template editing feature is only available when you have not used a template in a review period.

  1. Click the General Settings menu.
  2. Click the Review Settings submenu.
  3. Click the Review Templates button.
  4. Click the Actions button.
  5. Click the Edit button.

Editing a question: Rating scale

Important

The rating scale editing feature is only available when you have not used a template in a review period.

  1. Click the General Settings menu.

Editing a question: Free text

Important

The free text editing feature is only available when you have not used a template in a review period.

  1. Click the General Settings menu.
  2. Click the Review Settings submenu.

  5. Click the Edit button.

Disabling a template

Important

The template disabling feature is only available when you have used a template in a review period.

  1. Click the General Settings menu.
  2. Click the Review Settings submenu.
  3. Click the Review Templates button.
  4. Click the Actions button.
  5. Click the Disable button.

Enabling a template

Important

The template enabling feature is only available if the template shows a disabled status.

  1. Click the General Settings menu.
  2. Click the Review Settings submenu.
  3. Click the Review Templates button.
  4. Click the Show Disabled Review Periods tick box. 
  5. Click the Actions button.
  6. Click the Enable button.

Deleting a template

Important

The template deleting feature is only available when you have not used a template in a review period.

  1. Click the General Settings menu.
  2. Click the Review Settings submenu.
  3. Click the Review Templates button.
  4. Click the Actions button.
