Integrating with Xero

Overview

Employment Hero comes with native Xero integration. Your employees can self-manage aspects of their employee files with our Employee Self Service (ESS), while keeping Xero up to date.

One click payroll integration means that in a few minutes, Employment Hero directly syncs information with your Xero account. Once connected, Employment Hero will automate administrative, transactional HR tasks and free up valuable time for businesses.

Getting started

Connecting to Xero
  1. Click the General Settings menu.
  2. Click the Add-Ons submenu. 
  3. Click the Connect button.

    Helpful Hint

    Once you click the Connect button, Employment Hero will redirect to the Xero platform.

  4. Complete the required information on the Xero platform.

    Important

    Once Employment Hero has imported the data from Xero, you will see a status screen. From this page, you can see if there are any integration errors. If there are integration errors, you can click the View Conflicts button to see detailed information on the import conflicts.

Maintain

Manually importing employee files
  1. Click the General Settings menu.
  2. Click the Add-ons submenu.
  3. Click the Actions button.
  4. Click the Update button.

  5. In the Employees section, click the Update from Payroll button.

    Helpful Hint

    The Employees section will now show a green Updated button, this means Employment Hero has successfully imported your employees from Xero.

Manually importing organisational details
  1. Click the General Settings menu.&
  2. Click the Add-ons submenu.
  3. Click the Actions button.
  4. Click the Update button.

  5. In the Organisation Details section, click the Update from Payroll button.

    Helpful Hint

    The Organisation Details section will now show a green Updated button, this means Employment Hero has successfully imported your organisation details from Xero.

Manually importing pay items

Warning

The Employment Hero HR platform will import BOTH your active and inactive leave categories within Xero.

  1. Click the General Settings menu. 
  2. Click the Add-ons submenu. 
  3. Click the Actions button. 
  4. Click the Update button.

  5. In the Pay Items section, click the Update from Payroll button.

    Helpful Hint

    The Pay Items section will now show a green Updated button, this means Employment Hero has successfully imported your pay items from Xero.

Manually importing payslips

Warning

When importing Xero payslips into Employment Hero, the information displayed will differ. For details on what these details are, refer to the following section.

  1. Click the General Settings menu.
  2. Click the Add-ons submenu. 
  3. Click the Actions button. 
  4. Click the Update button.

  6. Select the required payslip from the drop-down menu.
  7. Click the Import button.

    The Payslips section will now show a green Updated button, this means Employment Hero has successfully imported your selected Xero payslip.

Disconnecting from Xero

Warning

After disconnecting from Xero, the HR platform will no longer synchronise your employee data between the two platforms. However, all existing employee data will remain within the HR platform.

  1. Click the General Settings menu.
  2. Click the Add-Ons submenu. 
  3. Click the Actions button.
  4. Click the Disconnect button.

Further information

How do I import payslips automatically

Employment Hero requires three conditions to import payslips automatically from Xero, they are:

  • A finalised pay run.
  • A published payslip.
  • The paid date is within four days of the current date (four days prior and/or four days after the current date)

Helpful Hint

Employment Hero will check once a day for eligible payslips.

How does Employment Hero display Xero payslips

Xero payslips imported into Employment Hero: 

  • Will only show the employee's default pay category under the Earnings section.
  • Will only show the pay rate under the Earnings section.  
  • Will not show Year To Date (YTD) earnings, tax, and superannuation.
  • Will not show leave balances.
  • Will not show leave taken.
  • Will not show payment details.
  • Will merge the below information into a summary section:
    • Tax.
    • Superannuation.
