To onboard a new employee you must have an Admin or Owner account.
Log into your account.
Dashboard > +Add to Onboard a New Employee
You will need to fill in each required field under:
- Basic Details
- Employment Details
- Pay details
Required fields will be indicated with an *
Once you have entered the required fields in each tab, at the bottom of the Pay Details tab you will see the options to:
- Issue Contract
If you click onto Finish
This will send your new employee an email with an invitation to Employment Hero which includes a link to log in, and set their own password.
If you click onto Issue Contract
You will select from the built-in contracts available in the platform, which one would apply to this employee (you can only allocate one, but if you need to allocate another you can do this later). This list will display the template contracts that are built into all EH accounts, and any that you might have built-in or customized yourself using the Template Management Tool.
Once you select the relevant contract and click continue, you will see this draft contract with each of the contract variables appearing in blue and bold text, prefilling with this employees details that have been entered throughout your onboarding process.
Proof read this document to ensure any variable fields have been filled correctly (or any variable fields that require you to either select from a drop-down, or enter free text have been actioned). Anything in a dotted line, with an x in the right corner, is an optional clause and can be removed if it wouldn't be relevant for this employee.
When you click Continue, review this contract. To finalize this contract, you will need to tick the box at the bottom of the document, select the Sending Signatory (if this is you, sign in the signature pad above, or upload a signature), you can customize the message that will display in the email to your employee if you wish, then click Email Contract.
Whether or not you issued a contract, this will have triggered the onboarding process, so any tasks would now be generated from your Onboarding Checklists, and you can monitor the progress of your new onboard on your dashboard.
